Minutes from the April 9, 2011 Meeting
The meeting was called to order at 10:30 by President Ron Butler. The Pledge of Allegiance was recited. Harold Crivello offer the prayer. Minutes of the March meeting were approved. The March treasurer’s report was approved with a March 31, 2011, balance of $123,385.70. A new member, Kate Williams, was introduced and welcomed.
It was determined that the last financial audit was done in July 2010 by Dave Rader. Since he has moved out of state it was agreed that a committee of three be appointed at the May meeting to follow through with this annual audit. Harold Crivello has a couple veterans outside of the present RNCIC membership who have done organizational audits in the past, and he will ask them if they are willing to accept appointment.
Jake Lamkins gave the Web Master’s Report with 1,376 hits since last reporting. He has declined research on Face Book with Jeremy Johns and Ryan Reynolds consenting to research and setup a Face Book page for the RNCIC.
OLD BUSINESS
Ron Butler reported that an offer on Lot #17 (Mahler) was made and accepted with a signed sales contract on April 4 and a closing date of April 22. The cash price is $60,000 with a $9,000 in-kind donation letter from the RNCIC with Mahler clearing the property according to VA specifications. Clearing is already in progress.
An offer was made for Lot #15 (Wilson) of $58,200 cash and a $7,000 in-kind donation letter from the RNCIC. Mr. Wilson’s last asking price was $65,200. At this time the offer is pending. The property is currently rented and will need 60 days to vacate.
Ron Butler stated that as soon as the two lots are purchased and cleared, the RNCIC will start the process of turning the four properties over to the VA. He recommended that we then concentrate on Lots #20 and #20A (Brantley) which have been held for us for quite some time. It is reported that the asking price is $75,750 assessed value for over ¾ acre. With burials moving into recently donated land we must work to raise money to purchase more property as quickly as possible.
The RNCIC Constitution and By-Laws were discussed as well as implementing membership fees. Jake Lamkins will edit the entire content of the Constitution and By-Laws and prepare a draft copy for review and discussion at the May meeting.
The 5K race for November 12, 2011, was discussed, with Wes and Josh going ahead to verify the race date on the racers’ calendar and get forms printed regarding sponsorship. The sponsorship forms are needed in order for members to start solicitation of sponsorships and prize donations. Wes asked if paid advertising should be considered this year.
Ron asked members to consider military and civic groups who could benefit from an RNCIC speaker and consider assigning one month each year for their project donations - as the Fayetteville MOAA group does each June.
Ron mentioned the possibility of setting up a table at the gun show which will be held in Springdale July 2 and 3. It would target a good group, literature could be distributed, and the possibility of having a raffle was mentioned. Further discussion in May.
A draft letter regarding membership was passed around and discussed. This would be incorporated with possible annual fee establishment.
Plans are under way for the Memorial Day ceremony at the Fayetteville National Cemetery. The final meeting is May 7, 10:00 a.m. at the Elks.
NEW BUSINESS
Ron alerted Harold Crivello to the 2010 IRS Form 990-N post card which needs to be mailed by the treasurer. Ron will take care of the Annual Report for Nonprofit Corp. for the State of Arkansas. Nothing is needed for the City of Fayetteville.
Publicity of the RNCIC was discussed for the newspapers, TV, personal appearances, etc. The upcoming purchase of properties and turning the properties over the VA would require recognition.
Ron reminded members that if they have anything to be on next month’s agenda to let him know and it will be included.
The meeting was adjourned at 11:45. The next meeting will be May 14, 2011, 10:30 a.m. at the American Legion Post 27, 1195 So. Curtis Ave., Fayetteville, AR.
